Job Description

The Library Specialist I is responsible for processing materials for transfer to the remote storage facilities and performing basic copy cataloging of monographs and catalog maintenance under general supervision of the Coordinator of Monograph Copy Cataloging. In conjunction with the unit staff, performs basic customer service and other library work.

Required Education and Experience:

  • High School Diploma or GED, or any equivalent combination of education and experience (30 or more higher education credit hours may substitute for one year of library experience).

  • One year of library experience.

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others.

  • Keyboarding skills.

  • Knowledge of email, word processing spreadsheets, and internet search engines.

  • Good interpersonal skills.

  • Attention to details.

  • Excellent communication and customer service skills.

Other Requirements or Other Factors

  • Flexible work schedules: Monday through Friday 8:00 a.m. to 5:00 p.m.

  • Ability to lift or move medium weight boxes, books or similar items, and push a heavy book truck.

  • Ability to handle material which can contain dust or microscopic mold spores.

  • Ability to work in narrow aisles and involving bending, reaching, stretching, stooping, moving, and/or lifting activities as well as standing for extended period of time.

Preferred Knowledge, Skills, and Abilities:

  • Ability to read a MARC 21 bibliographic record.

  • Ability to work in a team environment.

  • Works effectively with individuals of diverse background.


  • Assists in special maintenance projects, identifies, corrects, updates and/or deletes unnecessary or erroneous bibliographic, holdings or item records from the Voyager file. Examples of projects include but are not limited to: Temporary Circulation Report or processing reports of existing errors. Assists in processing materials for remote storage or withdrawal. Reviews materials for condition, identifies and corrects problems concerning barcodes, item records, and holding records, and relocates materials according to procedures. Performs other database maintenance tasks as requested. Refers serial problems and withdrawals to appropriate serials staff. Refers complex problems to Coordinator of Monograph Copy Cataloging.

  • Reviews items identified as problems in circulation, uses basic knowledge of Voyager bibliographic, holdings and item record structures, their relationships, and the effect of various codes on display and circulation functionality. Assists in analyzing the situation and makes necessary corrections, this includes determining if there is a matching record in Voyager, changing coding as appropriate, re-linking item records, etc. If there is no matching record in Voyager and with an understanding of OCLC Bibliographic Input Standards, locates appropriate matching bibliographic records in OCLC and either exports or overlays Voyager records as appropriate. Performs other database maintenance tasks as requested. Confers as necessary with appropriate library staff in acquisitions, cataloging, and public service units in order to resolve problems. Refers serials problems, withdrawals, and location changes to serials staff. Refers complex problems to the Coordinator of Monograph Copy Cataloging.

  • Assists in performing basic copy cataloging of monographic materials or circulating equipment, uses basic understanding of OCLC Bibliographic Input Standards, including verification of bibliographic data and creating other related records in the online system. Refers complex problems to the Coordinator of Monograph Copy Cataloging.

  • Assists in processing the monographic location transfers according to procedures and using basic knowledge of Voyager Holding and item records.

  • Attends and participates in departmental and interdepartmental meetings, committees, task forces, etc. Attends workshops to enhance skills.

  • Performs other duties as assigned.
