South Coast Community Services Staff Accountant II in Mission Viejo, California

Job Descriptions:

South Coast Community Services, a leading provider of mental health services, is seeking an experienced Staff Accountant II. This position will assist the Accounting team by preparing monthly reconciliations of balance sheets, audit payroll systems/records, handle monthly benefit reconciliation, and run other required monthly/yearly tax reports. Payroll responsibilities include; timely processing of semimonthly payroll, that include PTO processing, mileage reimbursements, and miscellaneous payments. A successful candidate must demonstrate the ability to work well with all levels of staff, possess excellent oral and written communication skills, and demonstrate the ability to be flexible, firm, consistent, and understanding.

What you will do:

  • Examine accounting records, including financial statements and other financial reports to assess accuracy, completeness and conformity to accounting principles.

  • Prepare monthly reconciliations of balance sheet accounts as directed by VP of Finance (strong focus on prepaid, payroll related, and liability accounts).

  • Assist in Year-End Payroll Processing (annual W-2s)

  • Confirm quarterly and annual returns are filed by the payroll service and that updates to SUI/ETT rates are reviewed quarterly.

  • Assist in preparation of 1099s, 1096s, and other tax reporting as required.

  • Assists with program and financial audits.

  • Prepare checks for vendors as approved by VP of Finance or CFO.

  • Process semi-monthly payroll using third-party payroll service.

  • Post semi-monthly payroll, mileage reimbursements, and phone expenditures by position number to worksheets and QuickBooks for contract billing.

  • Prepare PTO accrual monthly into QuickBooks.

  • Generate final payroll checks/manual checks.

  • Maintain payroll files. Assist Human Resources to maintain employee files which will include filing of confidential records.

  • Audit payroll system and records, process corrections when necessary to ensure accuracy.

  • Maintain confidentiality of sensitive date, ensuring all payroll information, garnishments files, and records are maintained in accordance with federal, state, and local laws and requirements.

  • Performs other related duties as required and assigned.

Required Experience:

  • Must be able to communicate clearly, both verbally and in writing.

  • Must be proficient with Full General Ledger write-up and accounting principles and practices.

  • Must be proficient in Microsoft Word, Excel (including VLookup and Pivot Tables), Outlook and Intuit’s QuickBooks or other similar accounting package.

  • Must be able to author and produce their own emails, letters, reports and other documents in a professional and error-free manner.

  • Must be detail oriented and have the ability to complete documentation in a timely manner.

  • Excellent time management, organizational and follow through skills.

  • Ability to prioritize and plan work activities and use time efficiently; adaptable to managing competing demands or unexpected events.

  • Must have the ability to perform efficiently and effectively with multiple interruptions.

Education/Experience

  • High school diploma or equivalent required. Associate or Bachelor’s degree in accounting preferred.

  • Full General Ledger write-up experience required.

  • 2+ years of recent full-time experience with QuickBooks Pro or Enterprise, or similar accounting package, required.

  • 2+ years of recent full-time experience with all functions of processing payroll required.

  • Experience with not-for-profit accounting preferred.

  • Experience working with outside auditors preferred.

Licensure, Registration, Certification

  • Valid CA driver’s license and proof of automobile insurance.
